Job Description

Overview Join our dynamic team as an Administrative Assistant and become the vital support system that keeps our office running smoothly and efficiently! You will be the first point of contact for callers, manage essential administrative tasks, and ensure seamless daily operations. Responsibilities Perform basic bookkeeping tasks using QuickBooks or similar accounting software to support office financial processes Manage multi-line phone systems, answer inquiries promptly, and direct calls to appropriate departments with proper phone etiquette Handle data entry, filing, and document proofreading to maintain accurate records and organized files Utilize Microsoft Office Suite tools to prepare reports, correspondence, and presentations Coordinate calendar management, schedule appointments, and assist with meeting arrangements for staff and executives Support office management duties such as ordering supplies, maintaining inventory, and overseeing general administrative functionsRequirements Proven experience in an office environment with clerical or administrative responsibilities Strong computer literacy including proficiency in QuickBooks, Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry skills Excellent organizational skills with the ability to prioritize tasks effectively in a busy setting Exceptional communication skills in both English and bilingual capabilities are highly desirable Experience with multi-line phone systems, front desk operations, and customer support roles such as medical or dental receptionist is a plus Knowledge of office management practices including filing systems, proofreading documents, and calendar management Personal assistant or medical receptionist experience is advantageous but not required Ability to handle confidential information discreetly while demonstrating strong time management skills This role offers a vibrant work environment where your proactive approach will make a real difference.
