full-time Project Administrator Position Overview We are seeking a highly organized and detail-oriented Project Administrator to provide administrative and logistical support throughout all phases of construction projects. This position works closely with project managers, superintendents, field personnel, General Contractors, clients, vendors, and internal accounting teams to ensure projects are well organized, accurately documented, and progressing according to schedule and budget. The ideal candidate is an excellent communicator with strong attention to detail and the ability to manage multiple priorities in a fast-paced environment. This role is essential to maintaining accurate project records, supporting financial tracking, coordinating documentation, and ensuring project requirements are met. Key Responsibilities Provide administrative support to project managers, superintendents, and field teams throughout all phases of construction projects. Prepare, process, organize, and track contracts, invoices, change orders, and purchase orders. Maintain accurate and organized project documentation, including drawings, specifications, RFIs, submittals, and related correspondence. Create and maintain organized project and job folders. Record and track employee daily hours and project quantities. Maintain work-in-progress (WIP) and job-costing reports. Prepare weekly, monthly, and quarterly project reports for General Contractors and internal management. Assist with budget tracking, invoice processing, and coordination of project billing with accounting. Communicate professionally with clients, vendors, General Contractors, engineers, and other project stakeholders to obtain required documentation, updates, and approvals. Monitor project documentation and administrative requirements to ensure compliance with company policies, contractual obligations, and applicable safety regulations. Assist with project closeout activities, including reconciling final quantities with General Contractors and engineers. Identify discrepancies or missing information and work with the appropriate team members to resolve issues promptly. Support project teams with additional administrative and organizational tasks as needed. Qualifications & Requirements Associate or bachelor's degree in construction management, Business Administration, or a related field preferred, but not required. 2-4 years of experience in construction administration, project coordination, or a related role. Strong organizational and time-management skills with the ability to manage multiple projects, priorities, and deadlines. Excellent written and verbal communication skills. Strong attention to detail and a high level of accuracy in document management, data entry, and financial tracking. Ability to review contracts, budgets, schedules, and project documentation and identify inconsistencies or potential issues. Proficiency with Microsoft Office Suite ; experience with QuickBooks preferred. Ability to work effectively with project managers, superintendents, field personnel, clients, vendors, and other external partners. Strong problem-solving and follow-through skills. Ability to work independently while also contributing effectively as part of a team. Professional demeanor and commitment to maintaining confidentiality and accuracy. Benefits
