Full Job Description Design Studio Assistant Location:
In-Office | Downers Grove, IL Full-Time Join our award-winning interior design studio in Downers Grove, IL. We are seeking a highly organized, proactive Design Studio Assistant to support the day-to-day administrative functions of our growing interior design firm. This role is essential to keeping our office running smoothly, ensuring accurate documentation, organized systems, and responsive communication. You will support our design and operations team by managing administrative tasks that help projects stay on track and clients feel supported throughout the process. This is an in-office position. Key Responsibilities Administrative Support Manage calendars, schedules, and internal coordination Maintain organized digital and physical filing systems Assist with document preparation and data entry Support team with general administrative tasks as needed Ensure office systems and processes remain accurate and up to date Financial & Office Support Assist with invoice preparation and basic bookkeeping tasks Maintain and update spreadsheets and records Organize vendor quotes and documentation Support purchase order processing and recordkeeping Coordination & Communication Assist with client and vendor communication Track project-related documentation and updates Support scheduling for deliveries and installations Help coordinate internal meetings and take notes as needed Coordinate vendor meetings Ensure timely follow-up on tasks and communications Qualifications Experience in administrative support, office coordination, or customer service required Strong organizational and follow-through skills Interior design industry experience is a plus but not required Bachelor's degree preferred Experience with Google Workspace (Docs, Sheets, Drive) and QuickBooks preferred Strong written and verbal communication skills What Success Looks Like in This Role Office operations run smoothly and efficiently Documentation and records are accurate and organized Orders and order tracking is handled in a timely manner and accurate Communication is clear, timely, and professional Tasks are completed proactively with minimal oversight The team is well-supported and able to focus on client and design work How to Apply Please submit your resume and a brief cover letter explaining why you are a strong fit for this role as well as compensation requirements.
