Secretary Transportation Department (Bilingual)

Type II of Bargaining Unit Non- Exempt
FUNCTION
Performs secretarial and clerical responsibilities as necessary. Capability as a telephone receptionist plus typing and operation of general office equipment. Knowledge of the operations, function, and scope of authority of the school administration and Board. Thorough knowledge of the policies of the Board as they apply to the position. Acts as department receptionist; works independently in meeting the public; gives information and answers complaints relating to the department/district; refers callers to appropriate personnel, or if necessary, arranges for an appointment with the Coordinator or designee, interacts with the public; answers routine questions. QUALIFICATIONS
High School Graduate or Equivalent Capable of typing 50 w.p.m. and performing other office tasks Fluent in Reading, Writing and Speaking English/Spanish Must have computer experience Must pass District Technology Test
WORK ENVIRONMENT
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Usually, normal office working conditions. The noise level in the work environment is quiet to moderate.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Answer and service telephone calls to Transportation Department. Receive all visitors to Transportation Department Office. Maintain an appointment calendar. Open, check and distribute mail addressed to the Coordinator and/or Transportation Department. Transcribe letters, reports; prepare specifications, job-opening forms, and other items. Maintain Transportation Department files. In charge of Transportation Department records, such as: A. Maintain all transportation records. B. Research documents as needed. C. Prepare documents for distribution. 8. Provides information and answers complaints relating to the department/district and refers callers to appropriate personnel or, if necessary, arranges for an appointment with the Coordinator or designee. 9. Type all purchase requisitions and standing order releases for the Transportation Department, and record them as instructed. 10. Other duties as may be assigned by the Coordinator or Assistant Superintendent for Business and Financial Services.
