Job Description

Job Summary We are seeking energetic and personable Front Desk Staff to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth office functioning. Your positive attitude and organizational skills will help create a professional and friendly environment for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your administrative and customer support skills in a dynamic setting. Duties Greet visitors, clients, and vendors with enthusiasm and professionalism, ensuring they feel welcomed and valued Manage phone systems, directing calls efficiently and courteously using med spa platform Handle incoming correspondence, emails, and inquiries promptly and accurately Maintain organized reception area, including filing, data entry, and document proofreading to ensure accuracy Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software Assist with clerical duties including copying, scanning, faxing, and maintaining office supplies inventory Provide customer support by addressing questions or concerns with a helpful attitude and timely follow-up Qualifications Proven experience working at a front desk or in an office environment with strong clerical skills ( best at medspa or medical office) Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools Strong organizational skills with the ability to multitask effectively in a fast-paced setting Bilingual abilities are highly desirable to serve diverse client needs (Polish, English) Demonstrated experience with data entry, filing systems, calendar management, and proofreading Previous experience with administrative tasks such as bookkeeping (QuickBooks preferred), personal assistant duties, or office management is a plus Join us to be part of a vibrant team dedicated to delivering outstanding service to our MedSpa Clients, while honing your administrative expertise.
