Job Description

Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Your energetic approach and attention to detail will help foster a productive, welcoming environment. Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette. Operate multi-line phone systems efficiently, handling inquiries and routing calls promptly. Maintain organized filing systems, data entry, and record keeping using tools such as Microsoft Office, Google Workspace, and QuickBooks. Assist with calendar management, scheduling appointments, meetings, and coordinating events seamlessly. Provide excellent customer service by supporting clients via phone, email, or in person while maintaining a friendly and professional demeanor. Perform clerical tasks including proofreading documents, managing correspondence, and supporting office management activities. Support bookkeeping tasks such as invoicing, expense tracking, and basic financial recordkeeping. Requirements Proven office experience with strong organizational skills and attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Experience with QuickBooks or similar accounting software is preferred. Excellent computer literacy including data entry, filing, and document proofreading. Strong communication skills with effective phone etiquette; bilingual abilities are a plus. Ability to manage multiple priorities efficiently through excellent time management skills. Previous experience in roles such as dental or medical receptionist, personal assistant, or customer support is advantageous.
