Position Overview:
Jewish National Fund-USA seeks an Event Administrator to provide high-level administrative, data management, and operational support to the Jewish National Fund-USA Midwest team. This role is responsible for ensuring efficient day-to-day operations, maintaining data integrity, and supporting fundraising and organizational initiatives. This is a full-time position based out of our Northbrook, IL office, 5 days/week.
Job Responsibilities:
Partner with regional fundraisers, leadership, and internal teams to provide comprehensive administrative and operational support, ensuring smooth execution of day-to-day activities. Manage general office and administrative functions, including: Answering and directing phone calls and handling general inquiries Formatting, coordinating, and executing mailings and communications Supporting additional administrative needs as they arise Utilize Salesforce and other organizational systems to: Build and pull complex reports based on appropriate criteria to support fundraising and operational needs Maintain accurate and up-to-date donor, prospect, and campaign records Track and manage sponsorships, registrations, table assignments, pledges, donations, and payments Ensure consistency, accuracy, and completeness of all database records Oversee donation and financial data processing, including: Entering and coding donations, pledges, invoices, and payments accurately and in a timely manner Reconciling records and ensuring alignment between internal systems and financial documentation Supporting compliance with organizational policies and procedures related to gift processing Maintain strong data hygiene and integrity by: Regularly reviewing and updating records Verifying donor and constituent information Identifying and correcting discrepancies across systems Coordinate logistics and administrative components related to organizational initiatives, including: Supporting internal coordination of programs, meetings, and fundraising efforts Managing documentation, tracking materials, and ensuring readiness of administrative assets Collaborating with internal departments to ensure alignment and follow-through Utilize internal tools, systems, and processes (e.g., Salesforce, project management platforms) to ensure efficiency, organization, and adherence to organizational standards. Support special projects and cross-functional initiatives, and perform additional duties as assigned.
Qualifications:
BA/BS degree required 1+ years of experience in event planning or administrative support (nonprofit experience a plus) preferred. Excellent organizational, communication, and time management skills. Ability to multitask, problem-solve, and meet tight deadlines with flexibility. High energy, strong attention to detail, and a proactive, team-oriented attitude Strong computer skills (Microsoft Office Suite, CRM/Salesforce preferred) Experience with virtual events (Zoom) and project management tools (e.g., Asana, Monday.com) preferred Available to work nights, weekends, and travel within the Midwest region on an as needed basis. Must have a valid US driver's license, personal car, and credit card (reimbursed expenses). Ability to lift up to 25 lbs.
