Job Description
Overview The Property Administrator serves as the first point of contact for tenants, vendors, visitors, and business partners while providing administrative support to the Property Management and Leasing teams. This position plays a key role in maintaining the efficient day-to-day operation of the office through exceptional customer service, organization, communication, and administrative support. Reporting Relationship Reports directly to the Operations Manager and provides administrative support to the Property Management and Leasing teams. Skills, Knowledge & Personal Characteristics

- Self-motivated, dependable, and able to work independently and collaboratively. Responsibilities
- Serve as the first point of contact for tenants, vendors, guests, and visitors.
- Greet, screen, and direct visitors in a professional and courteous manner.
- Answer, screen, and route incoming telephone calls and emails.
- Receive, sort, and distribute incoming mail and deliveries.
- Prepare letters, emails, reports, presentations, and other correspondence.
- Maintain electronic and hard-copy filing systems.
- Coordinate office procedures and administrative systems.
- Maintain contact databases and company records.
- Assist with tenant move-ins and administrative documentation.
- Receive and screen leasing inquiries and route prospective leads to the Leasing Team.
- Assist with preparation of leasing documents and marketing materials as requested.
- Schedule meetings, prepare agendas, record and distribute meeting minutes.
- Coordinate conference rooms, meeting materials, and presentations.
- Assist ownership and executive management with meetings, administrative projects, and special assignments.
- Maintain office supply inventory and coordinate office deliveries.
- Research information and prepare reports as requested.
- Handle sensitive and confidential information with discretion.
- Perform other administrative duties as assigned. Qualifications
- 2+ years of commercial real estate or commercial property management administrative experience preferred.
- Experience with Yardi Breeze Premier or similar property management software preferred.
- Strong Microsoft Excel, Word, and Outlook skills.
- Excellent customer service and interpersonal skills.
- Professional appearance and demeanor.
- Ability to prioritize multiple deadlines in a fast-paced office.
- Strong proofreading and organizational skills.
