We offer a variety of programs including a residential program for children, foster care and intact services and after school and summer day care.
PRIMARY FUNCTION
This position will provide administrative support in to the managment team and Program Director including tasks such as word processing, data entry, file upkeep, report preparation and generation, project coordination, logging & tracking, office organization, project management and the coordination of special events. The Administrative Assistant will create, maintian and monitor project dashboards to support visibility into status, performance and key metrics. Organize and maintain accurate record-keeping systems, such as compliance files, staff files, general correspondence, vendors, donors, funders, government and contract records. Maintain program-related lists, such as mailing listings, waiting lists, RSVPs, attendance, directories, and documentation. Will log and track statistics in multiple areas. Will plan and assist with special events including support groups, social worker lunch, and other training or meetings. Coordinate file review meetings to ensure all required documentation is complete, accurate, and up to date to ensure timely submission and review of files. Perform accurate data entry and maintain project records within the system to ensure data integrity and support project tracking and prepare weekly, monthly and annual reports.nd annual reports. Attend meetings and in-service training as provided or recommended; take minutes if needed along with other duties assigned by the Director.QUALIFICATIONS
- Associate's degree in business or related field, or an equivalent combination of education and experience.
- Proficient in the use of Microsoft products including Office, Word, PowerPoint, Teams, and One Drive. Requires experience in clerical duties and telephone skills required of an administrative assistant including the ability to type 50 wpm
- Must possess excellent written and verbal communication skills, strong organizational skills, ability to work independently, and ability to work effectively with staff, clients, vendors and the public.
- Requires continual attention to detail, establishing priorities and meeting deadlines, and ability to manage multiple tasks and demands.
- Ability to use good judgment, discretion, and tact in dealing with staff, clients, parents, volunteers, board members, donors, and the public.
- Ability to handle sensitive and confidential information.
- Sensitivity and responsiveness to the cultural differences in the staff and client populations.
- Other duties as assigned to support departmental needs.
QUALIFICATIONS
Associate degree in business or related field preferred but not required , or an equivalent combination of education and experience. Requires experience in the duties of an administrative assistant. Proficient in the use of computers, Microsoft Office, Word, Excel, and office machines; ability to type 50 wpm with accuracy. Must possess excellent written and verbal communication skills, strong organizational skills, the ability to work independently, and the ability to work effectively with staff, clients, parents, volunteers, board members, donors, and the public.
