This vital role offers an exciting opportunity to support daily office operations, enhance workflow efficiency, and provide exceptional customer service. The ideal candidate will bring a proactive attitude, excellent organizational skills, and a passion for maintaining a smooth-running office environment. Whether managing schedules, handling correspondence, or supporting team members, you will play a key role in ensuring our office functions seamlessly and professionally. Responsibilities Manage front desk duties, including greeting visitors and directing them appropriately Operate multi-line phone systems with professionalism and courtesy, ensuring clear communication Maintain accurate data entry and filing systems for easy retrieval of documents and records Support bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices Assist with calendar management, scheduling appointments, meetings, and reminders for staff members Provide exceptional customer support via phone, email, and in person, demonstrating excellent phone etiquette Prepare correspondence, proofread documents for accuracy, and ensure all materials are error-free Handle clerical tasks such as photocopying, scanning, and organizing files to keep the office efficient Support office management activities including supply inventory monitoring and vendor communication Utilize Google Workspace and Microsoft Office tools to create reports, presentations, and spreadsheets Experience Proven office experience with a strong background in administrative support roles Prior clerical experience demonstrating proficiency in data entry, filing, and document management Experience working at the front desk or as a receptionist in medical or dental offices is highly desirable Bilingual skills are a plus to effectively communicate with diverse clients and team members Familiarity with office management software such as QuickBooks and Google Workspace is preferred Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Excellent typing speed combined with good proofreading abilities to produce accurate documents Demonstrated customer service excellence with professional phone etiquette and support skills Knowledge of medical or dental receptionist duties is advantageous but not required; training will be provided if needed Join us in this energetic role where your organizational talents will shine!
