Henson Robinson Company Position Overview Henson Robinson Company, a well-established HVAC, Roofing, and Plumbing contractor, is seeking a reliable and organized administrative assistant to support front desk operations, customer service, payment processing, project documentation, billing, and general office coordination. This is an entry-level position and an excellent opportunity for someone who enjoys working with people, learning new processes, and staying organized in a busy office environment. The successful candidate will receive training and support while developing familiarity with the company's systems and procedures. What You'll Do As a key member of the office team, you will serve as one of the first points of contact for customers, visitors, and callers while providing administrative support to the accounting, payroll, project, and management teams. Front Desk & Customer Service Answer incoming calls and direct customers to the appropriate department or employee. Greet customers, visitors, and vendors in a friendly and professional manner. Assist customers with payment and basic service-related questions. Receive and process cash and check payments. Distribute incoming mail and voicemails. Prepare invoices and other documents for mailing. Order basic office supplies and assist with maintaining an organized office. Accounting & Accounts Receivable Support Assist with invoicing for small jobs and time-and-materials work. Support residential invoicing as needed. Follow up with customers regarding outstanding invoices. Generate basic accounts receivable reports with guidance. Print and mail customer statements. Assist with other billing and accounting-related tasks as needed. Payroll & Project Administration Assist with preparing certified payroll paperwork. Help generate and distribute project reports. Assist with submitting payroll reports. Stamp and prepare checks for accounts payable and payroll. Provide general administrative support to the project and accounting teams. General Office Support Order food for meetings and company events. Assist with scheduling meetings, training sessions, and conference rooms. Send certificates of insurance when requested. Assist with renewing vehicle stickers. Provide general administrative support to the office as needed. What We're Looking For We're looking for someone who is: Friendly, dependable, and team-oriented. Comfortable communicating with customers, coworkers, and vendors. Organized and able to manage multiple tasks throughout the day. Detail-oriented and able to follow established processes. Willing to learn new systems, procedures, and responsibilities. Comfortable working independently while knowing when to ask for assistance. Able to remain professional and helpful in a busy office environment. Computer Skills Basic knowledge of Microsoft Office, including Word, Excel, and Outlook. Experience with Adobe Acrobat is helpful but not required. Willingness to learn company-specific software and systems. Education High school diploma or equivalent required. College coursework or degree is a plus, but not required.
