full-time Our client is seeking a polished, highly organized Administrative Assistant to provide day-to-day administrative and accounting support in a professional services environment. This is an excellent opportunity for an early-career professional who is eager to learn, take on increasing responsibility, and develop their skills in a high-touch, highly confidential setting. The Administrative Assistant will work closely with the Executive Assistant to ensure administrative needs are handled efficiently and with exceptional attention to detail. While much of the support will be directed through the Executive Assistant, this individual will also have the opportunity to interact directly with senior principals when needed. Responsibilities Provide administrative support across a variety of personal and professional matters. Manage accounts payable activities, including bill payment, credit card reconciliation, expense tracking, and maintaining accurate records. Prepare documents, correspondence, mailings, and other materials as needed. Coordinate medical appointments and communicate with healthcare providers. Assist with planning and coordination of events, fundraisers, and other engagements. Support travel arrangements and logistics as needed. Assist with scheduling and calendar-related responsibilities as trust and familiarity with the role develops. Provide support for special projects, research, and other ad hoc administrative needs. Maintain a high level of confidentiality when handling sensitive personal, financial, and business information. Step in to provide direct support to the principals when the Executive Assistant is unavailable. Ideal Experience Bachelor's degree preferred but not required. 1-3 years of administrative or professional experience preferred, or with strong transferable experience. Strong attention to detail and excellent organizational skills. Exceptional judgment and discretion, particularly when handling confidential or sensitive information. Professional, polished demeanor with a strong commitment to providing high-touch, personalized service. Ability to prioritize, multitask, and follow through in a fast-paced environment. Strong written and verbal communication skills. Comfortable working independently while also taking direction and collaborating closely with an experienced Executive Assistant. Flexible, adaptable, and willing to take on a variety of responsibilities. A service-oriented mindset and willingness to anticipate needs are essential.
