Part-Time Administrative Assistant - Public Works City of Wheaton Police Department Wheaton, IL Job Details Part-time $21.25 - $26.56 an hour 5 hours ago Qualifications Employee relationship building Administrative experience Database management Data entry Typing Clerical experience Productivity software Office experience Full Job Description Job Summary The City of Wheaton is seeking a part-time Administrative Assistant to join our Public Works Department. This role provides advanced administrative and customer service support to the Administrative, Fleet, Forestry, Sewer, and Street Divisions, with a focus on administrative tasks and accounts payable. Essential Duties and Responsibilities Process accounts payable for the Public Works and Finance Departments, including matching receipts with invoices and entering data into Munis. Assist the Finance Department with invoices from other departments as needed. Manage and respond to Freedom of Information Act (FOIA) requests related to Public Works. Support Public Works employee timekeeping and order materials when necessary. Serve as a liaison between the Public Works Department and residents by assisting in person, by phone, or through email; provide information or refer inquiries to the appropriate division.. Post internal job openings. Deliver exceptional customer service to promote a positive City image, foster a constructive work environment, and support pride and professionalism in the workplace and community. Adhere to all departmental and City safety policies. Maintain consistent attendance and punctuality. Perform other duties as assigned.
Schedule:
Approximately 20 hours per week Monday - Friday No evening, weekends or holidays required Qualifications Education and Experience Minimum of four (4) years' experience in an office environment. Proficiency with Microsoft Office, recordkeeping, and database management. Strong written and verbal communication skills. Effective interpersonal skills for working with elected and appointed officials, staff, partner agencies, other governmental units, and the public. Ability to manage multiple tasks efficiently and on time. Strong teamwork and public interaction skills. Ability to develop and maintain positive working relationships. Physical Requirements Ability to sit, type, read, write, hear, and speak for extended periods. Ability to bend, kneel, and stoop. Ability to lift up to 10 pounds.
