AutoMAK is a leading supplier of vacuum lifting equipment used to install insulated metal roof & siding panels on commercial building projects. We work in partnership with contractors and manufacturers to bring solution driven equipment, which provide increased productivity, and practical safety benefits. It is this focus on the end user which has fueled AutoMAK's growth. Allowing us to become the trusted and respected source of vacuum lifting equipment for commercial roofing & siding markets. Position Summary We're looking for a motivated and detail-oriented Office Assistant to support front office operations and logistics coordination from our Crown Point, IN headquarters. In this role, you'll serve as the first point of contact for customers and visitors while also coordinating inbound and outbound freight for our equipment. You'll handle calls, schedule LTL and parcel shipments, prepare shipping documents, and provide administrative support to the customer service and operations teams. If you're organized, reliable, and comfortable balancing communication and operational tasks in a fast-paced environment, we'd love to talk to you. Key Responsibilities Serve as the primary receptionist by answering and routing incoming calls and greeting visitors Schedule and coordinate LTL freight pickups and deliveries across multiple shop locations Generate shipping documentation, including bills of lading and shipment paperwork Track shipment status and follow up with carriers as needed Communicate with customers via phone and email regarding shipments, scheduling, and general inquiries Monitor service due dates for rental equipment and assist with scheduling coordination Maintain organized filing systems both hard copies and electronic Print and assemble machine binders and instruction manuals Track office supply levels and coordinate reordering as needed Provide general administrative support to the customer service and operations teams Assist with additional office tasks as required
Required Skills:
Previous experience in an administrative, receptionist, or office support role Strong communication skills with professional phone etiquette Attention to detail and strong organizational skills Proficiency with Microsoft Office (Word, Excel, Outlook) Ability to multitask and prioritize in a fast-paced environment Willingness to support a team-oriented environment and take on varied responsibilities Applicable Skills /
