Immediately Job Description PURPOSE Provide high-level administrative, clerical, and operational support to the Director of College & Career Readiness and the College & Career Readiness Department. This position coordinates office operations, communications, and department activities while supporting college and career readiness programming, events, workshops, and college visits for middle and high school students.MINIMUM QUALIFICATIONS
Bachelor's degree from an accredited institution preferred in business administration, education, communications, public administration, or a related field; Associate's degree with progressively responsible administrative experience considered. Minimum of four (4) years of increasingly responsible clerical, secretarial, administrative assistant, or program coordination experience required. Demonstrated proficiency in office operations, organization, data management, and technology applications, including strong computer skills and effective oral and written communication skills. Knowledge of modern office practices, procedures, and equipment, including the technical processes, methods, terminology, and systems utilized within an administrative office environment. Ability to coordinate multiple projects, maintain confidentiality, prioritize tasks, and work effectively in a fast-paced environment with frequent interruptions. Ability to establish and maintain effective working relationships with students, families, staff, administrators, community partners, and the public. Ability to support events, workshops, and student travel activities, including occasional evening and overnight responsibilities.ESSENTIAL FUNCTIONS
Perform a variety of highly responsible and confidential clerical, secretarial, and administrative assistant duties in support of the College & Career Readiness (CCR) Department and related programming. Coordinate and support daily office operations, departmental activities, calendars, meetings, communications, and administrative projects for CCR and GEAR UP initiatives. Prepare, organize, maintain, and distribute departmental correspondence, reports, agendas, forms, spreadsheets, records, presentations, and other materials; proofread and revise documents for accuracy and completeness. Coordinate logistics for CCR and GEAR UP events, workshops, college visits, and student experiences, including scheduling, transportation requests, permission slips, attendance tracking, event registration, food and beverage coordination, room reservations, trip materials, and communication with schools and families. Attend and support college visits, CCR events, workshops, and conferences, including occasional evening and overnight travel with students and staff. Maintain and monitor student participation records and data systems, including SNAP data entry, audits, end-of-year reporting, attendance logs, EventLink management, and other required program documentation. Support budgetary and clerical accounting functions related to CCR and GEAR UP programming, including purchase requests, invoices, budget tracking, Pro Card documentation, reimbursements, payroll/time sheets, and financial recordkeeping. Coordinate communication and respond to inquiries from staff, students, families, community partners, colleges, and the public through phone, email, Let's Talk, and other communication platforms; exercise independent judgment in resolving concerns and routing complex matters appropriately. Process and maintain records related to SafeVisitor/background checks and other compliance documentation associated with volunteers, visitors, and events. Assist with training and providing guidance to department support staff and assist in coordinating workflow during high-volume periods and special events. Attend meetings, take notes/minutes as assigned, and assist with preparation and follow-up communication and documentation.
