Job Description

Position Overview We are seeking a highly organized and detail-oriented Administrative Assistant to support our OEM/Dealer department. This role is responsible for coordinating dealer administration, processing orders, organizing deliveries, sorting emails and assisting the sales team with customer support and trade show preparation. The ideal candidate is dependable, organized, and comfortable managing multiple tasks in a fast-paced environment. Responsibilities Process and manage new dealer applications Enter and maintain purchase orders accurately Coordinate and organize product deliveries and shipping schedules Prepare and send invoices Monitor overdue balances • Initial point of contact for OEM inquiries regarding shipment delays, backorders, and order discrepancies. • Providing clear communication, timely updates, and prompt follow-up. Track warranty claims and product returns Update pricing information for dealers and customers Assist with gathering and preparing sales materials Support sales representatives with administrative needs May require travel to trade shows and expos to assist the sales team Maintain organized records and filing systems Generate monthly and quarterly sales reports Communicate with dealers, customers, and internal departments in a professional manner Qualifications & Skills Experience with QuickBooks preferred Strong organizational and time-management skills Proficiency in Microsoft Excel and Microsoft Word Excellent communication and customer service skills Ability to multitask and prioritize responsibilities Detail-oriented with strong accuracy in data entry Previous administrative or office experience preferred Preferred Traits Self-motivated and dependable Team-oriented attitude Comfortable working in a fast-paced environment Willingness to travel occasionally for industry expos and events
Pay:
$17.00 - $19.00 per hour
