Job Description

Overview We are seeking a highly organized and proactive Administrative Assistant to join our dynamic team. This role is essential in supporting daily office operations, ensuring smooth communication, and maintaining an efficient work environment. The ideal candidate will possess strong clerical and customer service skills, demonstrate excellent organizational abilities, and be adept at managing multiple tasks with professionalism and precision. This position offers an opportunity to contribute significantly to our organizational success while developing valuable administrative expertise. Responsibilities Serve as the first point of contact at the front desk, greeting visitors and managing incoming calls with professionalism and courtesy Operate multi-line phone systems, screen calls, and direct inquiries appropriately Manage calendar scheduling, appointments, and meeting arrangements using various digital tools Perform data entry, filing, and document proofreading to ensure accuracy and completeness Handle correspondence via email, mail, and other communication channels efficiently Maintain office supplies inventory and coordinate procurement as needed Support bookkeeping activities using QuickBooks or similar software for basic financial record keeping Assist with office management tasks including organizing files, maintaining records, and supporting administrative projects Provide customer support by addressing inquiries promptly and professionally Utilize Microsoft Office Suite and Google Workspace for document creation, editing, and collaboration Uphold excellent phone etiquette while managing inquiries from clients, vendors, or team members Support personal assistant duties such as travel arrangements or confidential task management when required Requirements Proven experience in office management or administrative support roles with a minimum of two years of relevant experience Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Strong computer literacy with familiarity in data entry, filing systems, proofreading, and document management Experience using QuickBooks for bookkeeping or basic financial tasks preferred Excellent organizational skills with the ability to prioritize tasks effectively Bilingual abilities are a plus to support diverse client interactions Demonstrated customer service skills with professional phone etiquette and communication clarity Knowledge of multi-line phone systems and front desk operations essential Previous experience as a medical or dental receptionist or personal assistant is advantageous Ability to manage time efficiently while handling multiple responsibilities in a fast-paced environment
