Duties Manage multi-line phone systems with professionalism, ensuring clear and courteous communication with clients, vendors, and team members Perform data entry and maintain accurate records using spreadsheets, Microsoft Office applications, and Google Workspace tools Handle front desk responsibilities including greeting visitors, managing appointments, and directing phone calls with exemplary phone etiquette Oversee office management tasks such as filing, organizing documents, and maintaining office supplies inventory Support bookkeeping activities using QuickBooks or similar software to assist with invoicing, billing, and expense tracking Assist with calendar management and scheduling for team members and executives to optimize productivity Provide customer support by addressing inquiries promptly and professionally while ensuring client communication is clear and effective Qualifications Proven experience in office administration or clerical roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and data entry software Familiarity with QuickBooks or other bookkeeping software is highly desirable Excellent verbal and written communication skills; bilingual abilities are a plus Strong computer literacy with the ability to troubleshoot basic technical issues quickly Previous experience working as a receptionist or in customer service roles such as medical or dental reception is advantageous Demonstrated ability to prioritize tasks efficiently while managing time effectively in a busy environment Join us to be part of a vibrant team where your organizational talents will shine!
