You belong at Union! The Cardiac Cath Lab at Union Health is looking for a Scheduling Secretary to join our team at the Terre Haute campus. We are looking for an organized, detail-oriented individual who is committed to providing a high-quality patient experience and supporting our physicians and clinical teams in a fast-paced environment. The Scheduling Secretary plays an integral role in coordinating and scheduling Cardiac Cath Lab procedures for physicians at UHHG Heart & Vascular Center. This position is responsible for maintaining the procedural schedule, communicating with physician offices and clinic staff, coordinating pre-procedure requirements, verifying orders and referrals, and helping ensure the efficient use of the Cath Lab. This role works closely with physicians, clinic staff, the Cardiac Cath Lab manager, and clinical team members to ensure procedures are scheduled accurately and efficiently. The ideal candidate will have strong communication and organizational skills, attention to detail, the ability to work independently, and the ability to exercise sound judgment when managing scheduling needs and changes. Essential Job Duties:
Schedule all Cardiac Cath Lab procedures for physicians at UHHG Heart & Vascular Center. Maintain and update the procedural schedule while coordinating physician schedules, scheduling blocks, and release times. Communicate regularly with physician offices, clinic staff, providers, and the Cardiac Cath Lab team to ensure cases are scheduled accurately and efficiently. Coordinate with clinic staff to verify procedure details, orders, referrals, and scheduling requirements. Confirm physician schedules and adjust time slots based on physician workflow and procedural needs. Coordinate schedule changes to ensure appropriate provider and clinical staff coverage while minimizing interruptions to established patient and procedural workflows. Verify prior authorization has been obtained when applicable and validate referrals and orders for completeness and appropriateness. Ensure all required pre-procedure testing has been completed prior to scheduled procedures. Communicate scheduled cases and necessary information to outside departments and members of the clinical team as needed. Utilize the Cerner electronic medical record to schedule and cancel patient appointments and maintain the electronic appointment book. Assist with patient charge entry and other departmental clerical functions as needed. Utilize appropriate telephone skills and communicate professionally and courteously with patients, physician offices, providers, and staff. Attend meetings and perform other related duties as assigned.
Position Requirements:
Minimum of 3 years of related experience. General knowledge of medical practices and terminology. Previous medical office or unit secretary experience preferred. Knowledge of basic computer software applications. Excellent verbal and written English skills, including spelling and grammar. Strong organizational, communication, and interpersonal skills. Ability to work independently and exercise critical thinking and sound judgment. Ability to work effectively with a wide variety of people. Ability to work in a fast-paced and stressful environment.
