ADMINISTRATIVE ASSISTANT-DEVELOPMENT
(September, 2026) The Administrative Assistant-Development is part of a team whose purpose is to broaden an awareness of the mission and ministries of the Sisters of St. Joseph of Concordia and to build relationships with their benefactors and friends. The primary function of this position is to maintain a relational database, prepare reports including those needed for accounting, communicate with the public on the phone and through mail, to assist in the preparation and circulation of materials and to perform routine office procedures. The Administrative Assistant-Development shall have the following: 1) Experience, knowledge, and ability in operation of personal computers, scanners, printers and other related equipment 2) Understanding of basic to intermediate bookkeeping, including the ability to reconcile figures with finance office and produce reports needed to inform board/leadership council. 3) Competence with the operation of Microsoft Office products, Word, Excel and PowerPoint. Knowledge of Canva is useful. 4) Ability to quickly and efficiently learn Little Green Light and other specialized software as required 5) Strong written and verbal communication skills, critical thinking skills 6) Good personal and office management skills 7) Good public relation skills 8) Ability to learn quickly and utilize new knowledge to increase effectiveness 9) Ability to think creatively, logically and independently to handle a wide variety of duties with minimal supervision 10) Initiative in making adjustments needed to complete a task 11) Flexibility to adjust to frequent changes in duties, responsibilities, and priorities, including evening and weekend hours 12) Excellent spirit of cooperation and ability to function as part of a team. 13) Willingness to learn the history and culture of the Sisters of St. Joseph of Concordia 14) A valid driver's license and ability to safely operate an automobile The Administrative Assistant-Development reports to the Director of Development. Frequent coordination is required with personnel in the Finance Office. The working relationship with the Development staff will be a team approach in which the Administrative Assistant will not only perform routine tasks, but will also have opportunities to use her/his initiative in the overall effectiveness of the team. It is important for the Administrative Assistant to maintain good working relationships with donors, Sisters, and external business contacts, and to be able to maintain confidentiality. Development - 1) Maintain the donor database, ensuring accurate and confidential records, and create forms that will facilitate record keeping and reporting. 2) Assist with phone calls. 3) Manage in-house mailings with production responsibility for individualized letters, envelopes, and return pieces. This includes management of supplies and coordination of print purchases. 4) Assist director with opening mail, coding gifts, generating thank you notes and receipts on a daily basis. Enters gifts, maintains appropriate records, and ensures gifts are processed and ready for finance office each day. 5) Maintain journal entries in Little Green Light and other information requested by the finance office for all gifts including in-kind, online, stock, direct deposit donations, and pledges. Reconcile income and expenses each month. 6) Assist with the production and creation of development documents, such as, presentation documents, case statements, postcards, and communications as requested. Send sympathy cards daily, and invitations related to events throughout the year. 7) Assist with data analysis. 8) Assist with preparation of donor events. 9) Assist with required data entry, tracking, and preliminary analysis of data for funded activities that require formal reporting. 10) Perform routine clerical tasks such as duplicating, mailing, filing, scanning, etc. 11) Participate in ongoing training needed to maintain expertise with software programs for optimal job performance that may involve out-of-town travel. 12) Work days and hours as assigned, including occasional evening or weekend work. Attend in-service training and continuing education as required. Other duties, as assigned
Pay:
$18.27 - $20.00 per hour Expected hours: 30.0 per week
