Job Description
The City of Garden City is accepting applications for Administrative Assistant with the Recreation Department. This position provides administrative support for the Recreation Department including but not limited to extensive knowledge of Word and Excel, typing, correspondence and reports, answer telephone and provides information or directs to appropriate source, maintaining files, records and office supplies. Uses word and excel skills to prepare correspondence, memorandums, agendas, and reports for Public Works Division Staff. Assists in preparation of the Department's Reports. Research and collect information as directed by the Recreation staff. Maintains appointment calendar and schedules, office files, projects, priorities and City events. Answers telephone and receives general public; provides information or directs caller and walk-in traffic to appropriate City department or source of assistance. Administers and computes time cards for all employees assigned. Prepares Personnel Actions Reports (PARs) on all personnel and once signed forwards to HR. Types correspondence and reports for the Recreation Department. Maintains files, records and office supplies. Prepares purchase orders and maintains credit card logs. Performs any other duties as assigned as long as it is non-certified. Performs, processes, verifies accuracy of and/or maintains records of financial transactions, such as billings, requisitions, and accounts payables. May track and input budget, grant programs, payroll, or other financial information utilizing a computerized database. Prepares revenue/expenditures breakdowns and updates fund balances. Assists in compiling information for budget preparation. Completes and processes forms such as requisitions, applications, vouchers and purchase orders.
Knowledge, Skills, and Abilities:
Requires time management skills, self-motivation, and the ability to operate modern office equipment and computers. Skills in typing, filing, answering the telephone, and customer relations courtesy. Knowledge of departmental organization, policies, and procedures. Knowledge of budgeting and accounting procedures. Ability to supervise and coordinate the activities of subordinate personnel and auxiliary and support programs. Ability to follow written and verbal instructions. Ability to communicate with City employees and the general public. Experience with Microsoft Word and Excel, graphic design software, recreation management software, project coordination, social media and website management, and basic accounting principles, including cash handling and financial recordkeeping, is preferred.
Education, Certification and Experience:
High school diploma or GED. Completion of a two-year college or business school with certificate in business or public administration/secretary or related field; and 3 years experience as an Administrative Assistant for a medium size employer. A Bachelor degree may be substituted for two years of experience. Computer literate. Bilingual skills preferred. Valid Kansas Driver's License.

Work is performed indoors in an office setting in a controlled environment.
Physical Characteristics:
Ability to lift up to 26-50 pounds and carrying weights up to 25 pounds on occasion, reach, bend, turn, see, hear, lean, crouch, carry, sit, stand, verbalize, walk and write.
