Job Description
Position Summary The Administrative Assistant supports daily operations within a staffing office or onsite program by handling administrative tasks, coordinating workforce logistics, and ensuring a smooth hiring and onboarding process. This role plays a critical part in maintaining organization, compliance, and communication between recruiters, candidates, employees, and clients. Key Responsibilities Administrative Support Provide day-to-day administrative support to recruiters, onsite supervisors, and leadership Answer phones, respond to emails, and greet candidates and visitors Maintain organized digital and physical filing systems Recruiting & Onboarding Support Assist with scheduling interviews, orientations, and onboarding sessions Process new hire paperwork, background checks, and drug screenings Ensure all onboarding documents are completed accurately and in compliance Employee & Client Coordination Serve as a point of contact for employee questions related to payroll, schedules, and assignments Communicate assignment details, shift information, and expectations to employees Support client communication by relaying updates and workforce needs Data Entry & Reporting Enter and maintain employee data in the Applicant Tracking System (ATS) or HRIS Track attendance, headcount, and other workforce metrics Generate daily, weekly, and monthly reports as needed Timekeeping & Payroll Support Assist with timecard collection, review, and submission Identify and resolve discrepancies in hours worked Support payroll processing to ensure employees are paid accurately and on time Compliance & Documentation Ensure compliance with company policies, client requirements, and labor laws Maintain accurate I-9, E-Verify, and other employment documentation Prepare audit-ready files and documentation Qualifications High school diploma or GED required; Associate's degree preferred 1-2+ years of administrative or office support experience (staffing or HR preferred) Strong attention to detail and organizational skills Excellent communication and customer service skills Proficient in Microsoft Office (Excel, Word, Outlook) Experience with ATS or HR systems is a plus Bilingual (English/Spanish) is a plus Work Environment Office or onsite client location (warehouse, distribution center, or manufacturing site) Fast-paced, high-volume environment with frequent interruptions May require flexibility in schedule based on hiring needs
