Job Description
We are looking for a detail-oriented Construction Administrative Assistant to support a busy project team in Lenexa, Kansas. This Contract position is ideal for someone who enjoys balancing customer communication, document control, billing follow-up, and day-to-day office coordination in a fast-moving construction environment. You will work closely with project managers to keep project records organized, timelines visible, and administrative tasks moving efficiently. The team is small, collaborative, and achievement-oriented, making this a strong fit for someone who brings accuracy, responsiveness, and a proactive approach.
Responsibilities:
- Serve as a primary point of contact for incoming customer inquiries and provide timely administrative support related to active construction projects.
- Set up new project records, organize required documentation, and verify that client-specific forms and compliance items are completed accurately.
- Create and release purchase orders in alignment with project budgets while following internal approval expectations and required deadlines.
- Monitor project activity by updating schedules, tracking budgets, and confirming that supporting documentation for completed work is properly recorded.
- Maintain work-in-progress reports, payment tracking spreadsheets, and project status updates for both internal teams and external partners.
- Review project files on an ongoing basis to ensure records remain complete, current, and ready for billing or audit needs.
- Track subcontractor paperwork and follow up as needed to keep compliance documents current and properly filed.
- Partner regularly with project managers to discuss progress, identify administrative gaps, and support billing readiness across multiple jobs.
- Handle general office support tasks such as preparing correspondence, entering data, filing records, and producing routine reports.
