As an Administrative Support Specialist, you'll have a variety of responsibilities throughout the day. One minute you may be typing and mailing a letter, the next you may be helping someone at the front desk, answering a question, or making sure a document is handled correctly. You'll work with different teams, learn how our business operates, and become someone others can count on. This is a great opportunity for someone who likes a mix of office work and people interaction, takes pride in doing things accurately, and enjoys being part of a team. You don't need to know everything on day one, we'll help you learn the position and our systems. What You'll Be Doing Typing and mailing letters: Prepare, proofread, print, and mail correspondence and itemized statements. Helping staff get what they need: Receive letter and document requests through Microsoft Teams and make sure they are completed accurately and on time.
Protecting confidential information:
Review documents for HIPAA and PII, redact sensitive information when needed, and follow proper procedures for storing and sending documents.
Keeping things organized:
Maintain records, retrieve files, and make sure documentation is in the right place. Helping people who visit our office: Answer phones, greet visitors, answer questions, and assist with walk-in payments.
Supporting the team:
Help with account documentation, payment and insurance requests, reports, and other administrative tasks.
Learning and improving:
Become familiar with our systems and processes and help identify ways to make the work easier and more efficient. What Makes You a Great Fit You don't have to have experience in every part of this job. We're looking for someone who is dependable, willing to learn, and takes pride in doing a good job. You'll be a strong fit if you: Have a high school diploma or GED equivalent. Have experience in an office, administrative, clerical, reception, or customer service role. Are comfortable typing, proofreading, and working with documents. Can use a computer and are willing to learn Microsoft Teams and other software. Pay attention to details and understand the importance of accuracy. Can handle confidential information professionally. Enjoy helping people and communicating in a friendly, respectful way. Can stay organized when several requests come in at once. Are comfortable working independently and asking questions when needed. Can adapt to changing priorities and learn new processes. Previous experience with Berlin-Wheeler, Inc. is preferred, but not required. Successful completion of company orientation and training is required. A Little About the Day-to-Day This is a hands-on administrative role. You'll spend time at your computer preparing documents, responding to Teams requests, and keeping records organized. You'll also have opportunities to interact with employees, clients, consumers, and visitors. The work is varied, and some days will be busier than others.
