This position is ideal for someone who enjoys variety, has excellent communication skills, and thrives in a ever-changing office environment. As one of the first points of contact for many of our customers, you'll play an important role in helping keep our office running smoothly while supporting our project management and administrative teams. Responsibilities Greet visitors and clients warmly, providing excellent customer service and ensuring a professional first impression Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette Handle data entry tasks accurately using Microsoft Office, Google Workspace, and Contractor Forman bookkeeping and record keeping Maintain organized filing systems both digitally and physically, ensuring confidentiality of sensitive information Assist with calendar management and scheduling appointments or meetings for staff members Support office management by ordering supplies, maintaining inventory, and coordinating maintenance requests Provide general administrative support such as proofreading documents, preparing correspondence, and supporting customer support efforts Experience Previous office experience or administrative support role required Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools is essential Familiarity with project management software is required Strong organizational skills with the ability to prioritize tasks effectively in a busy environment Excellent communication skills, both verbal and written; bilingual abilities are highly valued Demonstrated ability to handle confidential information discreetly with professionalism Experience with front desk duties, multi-line phone systems, data entry, and clerical tasks is required Personal assistant or office management experience will be considered an asset Join us in creating a vibrant work environment where your organizational talents shine!
