Job Summary We are seeking a proactive and organized Assistant Office Administrator to join our dynamic team! Duties Manage front desk responsibilities, greeting visitors and directing phone calls with professionalism and courtesy Operate multi-line phone systems, handling inquiries and routing calls efficiently using proper phone etiquette Perform data entry tasks accurately within various software platforms, including Microsoft Office and Google Workspace Maintain organized filing systems, both physical and digital, ensuring confidentiality of sensitive information Assist with bookkeeping using QuickBooks, including invoicing, expense tracking, and financial record keeping Support calendar management and scheduling for team members or executives, coordinating meetings and appointments Provide customer service support by responding promptly to client inquiries and offering assistance as needed Requirements Proven office management or administrative experience in a fast-paced environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Experience with QuickBooks or similar bookkeeping software is highly desirable Excellent organizational skills with the ability to multitask effectively and prioritize tasks efficiently Bilingual abilities are a plus to assist diverse client needs Exceptional communication skills—both verbal and written—along with professional phone etiquette Ability to handle confidential information discreetly and responsibly Strong typing, proofreading, and data entry skills to ensure accuracy in all tasks Previous experience in customer support or client communication roles is advantageous Personal assistant or calendar management experience is preferred but not required Join us as an Assistant Office Administrator and be part of a vibrant team dedicated to excellence!
