Job Description
Summary of Job Duties and Responsibilities General office duties. Maintaining departmental records and files and determining priorities of work to be done. Verify students have met all requirements for admission into the student teaching program by scheduled deadlines and communicating missing documentation to students accurately and in a timely manner. Processing paperwork related to student teaching including but not limited to; Sending placement requests to school districts Creating and distributing placement letters to student teachers and cooperating teachers Entering placements and their details accurately into databases Gathering Independent Contractor or Employee forms from Human Resources to properly denote employment classification for university supervisors and cooperating teachers Generating special services contracts and personnel action forms for cooperating teachers and university supervisors Verify information for tuition waivers on cooperating teachers Creating and verifying the accuracy of the Co-Teaching Report for submissions to the Kentucky Department of Education Monitor student's logged hours for transfers and the course information in the Kentucky Field Experience Tracking System (KFETS) Assist not only the Director of TES but also the Coordinator of Student Teaching, and the Coordinator of FIeld Services with additional responsibilities as needed. Provide support to the department as needed by answering the phone, greeting visitors, relaying messages accurately, assisting students with deadlines and forms, and ensuring all supplies needed for student teaching are stocked. Other duties as assigned. Minimum Education Requirements Two years of college. Minimum Experience and Skill Requirements Two years of administrative experience in a university, business or government office. Additional college education and related experience may be exchanged year-for-year to meet qualifications. Alertness, memory for verbal or written directions and details, and ability to plan and make decisions. Excellent communication and interpersonal skills, supervisory, multi-tasking, and organizational skills required. Must have pleasant, proactive personality and ability to handle demanding situations. Must be able to quickly adapt to address changing circumstances and personalities. Keyboarding, filing, MS Office Suite programs, office procedures; bookkeeping may be required.
