JOB SUMMARY
The Administrative Assistant for the Compassionate Care Center serves as the first point of contact for Compassionate Care Plus and the Compassionate Care Center inpatient unit, creating a welcoming and compassionate environment for patients, families, visitors, referral sources, and staff. This position manages a multi-line telephone system, greets visitors, coordinates administrative functions, and provides clerical support to ensure the efficient daily operation of the inpatient unit while maintaining the highest standards of confidentiality and customer service.

SCHEDULE
Full-time, on-site, Monday - Friday 11:00am - 7:30pm
EDUCATION & EXPERIENCE
  • High school diploma or GED required.
  • Minimum one (1) year of customer service, administrative, medical office, or receptionist experience preferred.
  • Experience in a healthcare, hospice, or medical office setting preferred.
KNOWLEDGE, SKILLS & ABILITIES
  • Proficiency in Microsoft Office (Outlook, Word, Excel) and electronic medical record (EMR) systems preferred.
  • Strong verbal and written communication skills with the ability to interact professionally and compassionately with patients, families, visitors, physicians, and community partners.
  • Excellent organizational skills and attention to detail.
  • Ability to prioritize multiple tasks and adapt in a fast-paced environment.
  • Ability to maintain strict confidentiality in accordance with HIPAA regulations.
  • Ability to exercise sound judgment, professionalism, and empathy when interacting with individuals experiencing grief or emotional stress.
LICENSES & CERTIFICATIONS
  • Current Kentucky Driver's License.
  • Reliable transportation with current automobile insurance.
ESSENTIAL JOB FUNCTIONS 1.
Answer, screen, and direct incoming telephone calls promptly and professionally. 2. Welcome patients, families, visitors, volunteers, vendors, and referral sources with compassion and professionalism. 3. Maintain a calm, courteous demeanor while interacting with individuals experiencing grief, stress, or emotional situations. 4. Maintain confidentiality of patient information and comply with HIPAA and organizational privacy policies. 5. Provide administrative support to the inpatient clinical team, leadership, and other departments as assigned. 6. Facilitate communication among the interdisciplinary care team, patients, families, and external providers 7. Assist with medical records, scanning, filing, and document management. 8. Order, receive, stock, and monitor office supplies 9. Monitor office equipment and report maintenance concerns 10. Perform data entry with accuracy and attention to detail 11. Assist with special projects and perform other duties as assigned
PHYSICAL REQUIREMENTS
The employee must have the ability to lift and/or move a minimum of forty pounds using proper body mechanics and safety measures. Individual job responsibilities may require lifting more than 40 pounds on occasion. Employees are regularly required to see, talk and hear; frequently required to sit, stand or walk and use hands; to handle, finger or feel objects, tools or controls. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential function of this job.
