Job Description
Job Summary This part-time position is responsible for providing effective and efficient administrative support for the church and its ministries, including specific daily and weekly financial duties. This role will facilitate the flow of information and communication between the public and church staff, keep the daily functions of the church office running proficiently, and manage the resources needed for the ministries of the church to be successful. This person will possess the desire to aid church staff in fulfilling their responsibilities and assist in their workload whenever possible. Responsibilities Welcome all visitors and members with sensitivity to their needs in a Christian manner; receive all incoming communication with a pleasant and helpful phone presence; be able to clearly take messages and forward them to the designated personnel. Maintain confidentiality of sensitive information. Submit weekly invoices for approval to the finance committee and the church CPA, and print corresponding checks via QuickBooks to be signed. Prepare a monthly financial report and submit it to the church CPA for recording-keeping and processing. Organize and file weekly checks, bills, and reports for the church records. Communicate with office staff regarding prayer requests and member care by maintaining up-to-date information on those who are sick or hospitalized. Maintain and communicate the church calendar for pastoral staff, including appointments, meetings, church events, and updates. Schedule events and maintain the calendar for the Activity Center and other church facilities, including dispersal and recollection of necessary keys and collection of applicable usage fees. This is to be kept in accordance with approved church policies and procedures. Keep accurate and up-to-date records of church membership by supplying the church database with all current and relevant information. Assist the church clerk in preparation of business meeting minutes, membership reports, etc., for presentation during business meetings. Assist, when necessary, in ordering church resources such as ministry literature, curriculum, and Bible studies; order office supplies and maintain and schedule needed maintenance for office equipment. Help prepare, print, and distribute church bulletins, offering envelopes, Connect Cards, etc., for each Sunday/Wednesday. Prepare and send weekly email newsletter and keep "Upcoming Events" page on church website up-to-date. Receive, store, and distribute mail/packages (may require lifting). Perform other assigned duties for the pastors and church leadership as needed. Expected Proficiencies Computer skills with proficiency in Microsoft Office (Word, Excel, Publisher) and Google Calendar/Docs. Possess a working knowledge, experience, or familiarity with Quickbooks program. Ability to use and navigate the internet and online resources; have a working knowledge of social media and email systems. Experience with office settings and equipment, such as printers and copiers Ability to learn and use our church management software. Have a high command of English composition and punctuation. Organizational skills to manage multiple tasks and communications. Requirements High school graduate; minimum three to five years in an office environment or administrative support preferred. Employment experience in bookkeeping is preferred. Demonstrates spiritual maturity, consistent growth in personal faith and servant leadership; be an active member of a local and like-minded church. Detail-oriented with strong organizational and time management skills. Must pass a criminal background check and be bondable.
