Responsibilities Greet visitors and manage front desk duties with professionalism and warmth Answer multi-line phone systems promptly, directing calls efficiently and courteously Perform data entry and maintain accurate records using Microsoft Office and Google Workspace tools Manage filing systems, organize documents, and ensure proper document storage Assist with bookkeeping tasks using QuickBooks and support basic office management activities Support calendar management and schedule appointments for staff or clients Provide exceptional customer support and handle inquiries with friendly, clear communication Perform general clerical duties such as proofreading, copying, scanning, and mailing documents Skills Proven office experience with strong organizational skills and attention to detail Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications Familiarity with QuickBooks or other bookkeeping software is a plus Excellent phone etiquette and experience managing multi-line phone systems Bilingual abilities are highly desirable to serve diverse clients and team members effectively Strong typing skills combined with good computer literacy and data entry capabilities Ability to multitask efficiently while managing time effectively in a fast-paced environment Previous personal assistant or administrative experience is advantageous Exceptional organizational skills with the ability to prioritize tasks seamlessly Knowledge of filing procedures, proofreading techniques, and customer service best practices Join us as a Part Time Office Assistant where your enthusiasm, organization, and dedication will make a meaningful impact every day!
