Job Description

Overview We are seeking a dynamic and highly organized Office Assistant to join our team! This energetic role is vital in ensuring the smooth operation of our office environment. As an Office Assistant, you will be the friendly face of our organization, providing exceptional administrative support, managing front desk responsibilities, and facilitating efficient office management. Responsibilities Greet visitors and clients warmly, ensuring a positive first impression at the front desk Manage multi-line phone systems with professionalism, directing calls accurately and courteously Handle incoming and outgoing correspondence, including emails, mail, and packages Maintain organized filing systems—both physical and digital—ensuring easy retrieval of documents Perform data entry tasks with high accuracy using Microsoft Office and Google Workspace tools Support calendar management by scheduling appointments and meetings efficiently Assist with bookkeeping tasks using QuickBooks or similar accounting software as needed Provide customer service support by addressing inquiries promptly and professionally Conduct proofreading of documents to ensure clarity, accuracy, and professionalism Manage office supplies inventory and coordinate procurement to keep the workspace well-stocked Support administrative tasks such as copying, scanning, faxing, and document preparation Maintain a clean, organized reception area that reflects our professional standards Assist with special projects or personal assistant duties to support team members' needs Experience Proven office management or administrative experience in a fast-paced environment Strong clerical skills including filing, data entry, and document proofreading Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets) Experience handling multi-line phone systems with proper phone etiquette Familiarity with QuickBooks or bookkeeping software is a plus Bilingual abilities are highly desirable to serve diverse client needs effectively Previous roles such as dental or medical receptionist or personal assistant experience are advantageous Exceptional organizational skills with keen attention to detail and time management capabilities Demonstrated customer service skills with a friendly demeanor and professional communication style Join us to be part of an energetic team dedicated to creating a positive work environment!
