POSITION SUMMARY
The Administrative Assistant provides comprehensive administrative and clerical support to leadership and departmental staff, ensuring the office runs smoothly and efficiently. This role is central to daily operations - coordinating schedules, managing correspondence, maintaining records, and serving as a professional point of contact for internal and external parties.
KEY RESPONSIBILITIES
Provide day-to-day administrative support to executives, managers, and departmental staff Manage calendars, schedule meetings, and coordinate appointments and travel arrangements Answer and direct incoming calls, greet visitors, and serve as a professional first point of contact Prepare, proofread, and format correspondence, reports, spreadsheets, and presentations Maintain organized physical and electronic filing systems and ensure records are accurate and current Perform data entry and assist with recordkeeping, invoices, expense reports, and purchase orders Order and manage office supplies; coordinate with vendors and service providers Assist with meeting preparation, including agendas, materials, and follow-up notes Handle incoming and outgoing mail and shipments Support additional administrative projects and cross-departmental needs as assigned
QUALIFICATIONS
High school diploma or equivalent required; associate degree or relevant coursework a plus 2+ years of administrative, clerical, or office-support experience
REQUIRED
Must be proficient with Microsoft Office (Word, Excel, Outlook, PowerPoint) Strong organizational skills and attention to detail, with the ability to manage multiple priorities Excellent written and verbal communication skills and a professional demeanor High level of discretion and the ability to handle confidential information appropriately
COMPENSATION & BENEFITS
This direct-hire position offers a competitive salary and benefits package, which includes:
