II. SUMMARY OF POSITION'S PURPOSE
Performs the secretarial and clerical duties of the school secretary in a manner that facilitates the functioning of the School Principal and the various school programs and performs functions that ensure the Head Start office is an efficient part of the operation of the Head Start program
NOTE:
Several of the duties mentioned below are primarily performed by the School Secretary B and other positions. Nonetheless, the School Secretary A is responsible for performing these functions as directed by the Principal of Head Start
III. MINIMUM QUALIFICATIONS EDUCATION/CERTIFICATION
- High School Diploma or its equivalent
EXPERIENCE - 0-6
months experience in Head Start. 1-3 years of secretarial experience SKILLS - Must meet the criteria established in 45-CFR 1302.91 Head Start Performance Standards
IV. DUTIES AND RESPONSIBILITIES
Performs a wide variety of administrative duties including, but not limited to, checking students in and out of school, signing in substitute teachers, maintaining absentee logs for students and employees, assisting parents in the preparation of insurance claims, contacting parents when the child is not picked up at the student drop off point and, preparing various reports (including the Workers' Compensation Accident Report) for internal and external use. Talks to parents and other visitors in a professional manner. Tallies and reports daily lunch count. Performs a wide variety of clerical duties including, but not limited to, answering the telephone in a professional manner and delivers messages to appropriate persons, receiving and directing visitors, typing, copying and faxing documents, and sorting/prioritizing mail. Develops computer skills to ensure that efficient administrative reports are completed. Follows the prescribed system for purchasing materials and supplies, tracks the status, inventories and submits for payment all invoices. Coordinates certain accounting related activities to include accepting checks, reconciling bank statements, and handling purchase orders. Maintains inventory records. Issues staff attendance monthly reports. Maintains sign-in sheets for parents, visitors, and staff. Assists with the collection of non-federal share required for the continuation of program operations. Maintains the operation of the copier and any other office equipment. Abides by the confidentiality policy of Head Start and Ascension Parish School Board. Completes all requirements deemed necessary for meeting minimum standards of licensing. Provides courteous and prompt service to all internal and external customers including students, parents, co-workers, etc. Schedules and/or attends conferences with parents. Prioritizes and addresses requests and assignments in a professional manner to develop cooperative relationships and to ensure that student and employee records confidentiality is assured. Identifies opportunities and recommends methods to improve service, work processes and financial performance, e.g. expense management. Assists in the implementation of quality improvement initiatives. Assists co-workers in the completion of tasks and assignments to ensure continuity of service. Orients new co-workers and actively supports teamwork throughout the school system. Performs other duties as required.
