Job Description

A construction company is seeking a dependable and computer-savvy Personal Assistant / AI Proposal Assistant to work directly with a blind veteran who is involved in the operation and growth of the business. This is primarily a computer, administrative, and business-support position. It is not a traditional caregiving role. A major part of the position involves using computers and modern artificial intelligence (AI) tools to help research opportunities, prepare construction proposals, organize project information, draft business documents, and complete online applications. The ideal candidate does not need to be an AI expert. However, they should be comfortable working on a computer, learning new technology, following detailed instructions, and producing professional written work. Key Responsibilities Use AI tools to assist with drafting and improving construction proposals. Prepare bid proposals, scopes of work, cover letters, capability statements, and other business documents. Enter project information, pricing, qualifications, and company information into proposal templates. Research public and private construction opportunities online. Assist with government contracting and procurement websites. Research RFPs, RFQs, IFBs, grants, and other business opportunities. Read solicitation documents and identify important requirements and deadlines. Use AI to summarize lengthy bid and solicitation documents. Help develop responses to proposal questions. Proofread AI-generated material and verify important information before submission. Format proposals using Microsoft Word, Google Docs, PDF software, and similar programs. Organize construction documents, photographs, estimates, contracts, and project files. Complete online forms and upload supporting documents. Draft professional emails and business correspondence. Maintain calendars and track proposal and bid deadlines. Conduct internet research requested by management. Assist the blind veteran with computer programs, websites, and documents that may not be fully accessible. Perform additional administrative and personal-assistant duties related to operating the construction business. AI Responsibilities The assistant will be trained to use AI as a business productivity tool. Typical assignments may include providing AI with project information and instructions, developing effective prompts, generating a first draft, reviewing the output, correcting inaccurate information, formatting the final document, and presenting it for approval. AI should assist the proposal process—not replace human review. The assistant is expected to check names, dates, pricing, project requirements, qualifications, and other critical information against the original source documents before anything is submitted. Qualifications Strong basic computer skills. Good writing, spelling, and communication skills. Comfortable learning and using AI technology. Experience with Microsoft Word, Google Docs, email, PDFs, and web-based applications. Ability to research information online. Strong attention to detail. Ability to organize multiple documents and deadlines. Dependable and able to maintain confidential business information. Comfortable working directly with a blind professional and providing computer-based assistance when needed. Preferred Experience Experience in any of the following is helpful but not required: Construction administration, estimating, proposal writing, government contracting, grant writing, RFP/RFQ responses, procurement, project coordination, administrative assistance, AI tools, or computer support. Training can be provided to a strong candidate who has excellent computer skills and is willing to learn. Ideal Candidate The ideal candidate is someone who can sit down at a computer, receive instructions and source documents, use AI and traditional software to turn that information into professional business materials, carefully check the work for accuracy, and keep projects organized through completion. This position provides an opportunity to develop practical experience in construction, artificial intelligence, proposal development, government contracting, and business administration.
