In this energetic role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Your positive attitude, exceptional organizational skills, and ability to handle multiple tasks with ease will contribute significantly to a productive work environment. This paid position offers an exciting opportunity to develop your administrative expertise while supporting various departments and ensuring excellent customer service. Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems, handle inquiries, and route calls efficiently using clear communication skills Perform data entry tasks using Microsoft Office, Google Workspace, and other office software to maintain accurate records Organize and file documents systematically, including digital files and physical paperwork such as invoices, reports, and correspondence Assist with calendar management and scheduling appointments Provide exceptional customer service by responding promptly to inquiries via phone or email and supporting clients or patients as needed Experience Previous office management or administrative experience in a fast-paced environment is preferred Demonstrated proficiency with computer literacy tools such as Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Drive) Experience with clerical tasks such as proofreading, data entry, filing, and document organization Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently Bilingual abilities are highly desirable to assist a diverse client base Knowledge of front desk operations, medical or dental receptionist duties, or personal assistant experience is a plus Familiarity with office equipment including multi-line phones, fax machines, printers, and office management systems Previous billing, accounting, or office experience preferred Join us in creating a welcoming environment where efficiency meets excellence!
