Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers an exciting opportunity to support daily office operations, streamline administrative processes, and enhance overall productivity. As an energetic and proactive team member, you will be the backbone of our office environment, ensuring smooth communication, efficient management of schedules, and exceptional support to staff and clients alike. Your expertise in office management, technical proficiency, and excellent communication skills will contribute significantly to our success. Responsibilities Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette. Perform data entry tasks accurately using spreadsheets, Word processing, and productivity software such as Microsoft Office and Google Workspace. Oversee calendar management and scheduling for team members, ensuring appointments and meetings are organized efficiently. Handle clerical duties such as filing, proofreading documents, maintaining records, and managing correspondence. Support bookkeeping activities using QuickBooks or similar accounting software to assist with invoicing, expense tracking, and basic financial record keeping. Provide excellent customer service by assisting clients or visitors with inquiries and offering support via phone or in person. Coordinate office supplies inventory, manage office management tasks, and ensure the workspace remains organized and functional. Requirements Proven experience in office administration or clerical roles with a strong background in office management. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills. Technical proficiency with computer literacy including familiarity with QuickBooks, spreadsheets, and productivity software. Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently. Strong communication skills in both English and bilingual capabilities are a plus for client interaction and team collaboration. Experience operating multi-line phone systems and demonstrating professional phone etiquette. Demonstrated ability to handle front desk responsibilities with professionalism and courtesy. Previous experience in customer service or client communication roles is highly desirable. Knowledge of office procedures such as filing systems, proofreading documents, calendar management, and basic bookkeeping is preferred.
