Position Summary The Administrative Assistant provides administrative, clerical, customer service, and light bookkeeping support to the Training Director while assisting with the daily operations of the Electrical Training Alliance (Monroe Joint Apprenticeship & Training Committee (JATC)). As the first point of contact for applicants, apprentices, contractors, instructors, and the public, this position plays a key role in ensuring the office operates efficiently and professionally. Responsibilities include applicant intake and processing, maintaining apprentice records, assisting with apprenticeship data entry and reporting, coordinating schedules and meetings, preparing correspondence and program materials, supporting committee activities, and performing routine bookkeeping functions . The ideal candidate is organized, detail-oriented, customer-focused, and able to manage multiple priorities while maintaining accuracy, confidentiality, and professionalism. Experience with Quickbooks and strong data entry skills are a plus. Essential Duties and Responsibilities Administrative & Office Support Provide administrative support to the Training Director and assist with the day-to-day operation of the apprenticeship office. Answer and direct incoming phone calls, emails, and visitors while providing excellent customer service. Prepare correspondence, meeting materials, forms, and other program documents. Coordinate calendars, appointments, interviews, meetings, orientations, and special events. Maintain organized electronic and paper filing systems. Order supplies and assist with general office and program operations. Perform other administrative duties and special projects as assigned. Applicant & Apprentice Administration Serve as the primary contact for prospective applicants and assist them throughout the application process. Distribute, receive, review, and process apprenticeship applications and supporting documentation. Schedule applicant interviews, aptitude testing, orientation sessions, and other intake activities. Maintain accurate applicant and apprentice files in accordance with program policies. Respond to routine inquiries from apprentices, applicants, contractors, instructors, and the public. Records & Program Support Assist the Training Director with maintaining apprentice records and entering on-the-job training (OJT), related classroom instruction hours, evaluations, and other required documentation. Monitor outstanding documentation and communicate with apprentices regarding missing information. Assist with preparing reports, maintaining databases, and supporting compliance and audit requirements. Assist the Training Director in coordinating and preparing materials for JATC committee meetings and program events. Assist with apprentice registration, graduations, orientations, and other program activities. Bookkeeping & Financial Support Process accounts payable and accounts receivable transactions. Maintain organized financial records and supporting documentation. Assist with invoice processing and other routine accounting tasks. Assist the Training Director in preparing financial information and documentation for the accountant, auditors, and JATC Committee as requested.
