Job Description
Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! This vital role offers an exciting opportunity to support daily company operations, ensure smooth communication, and enhance overall productivity. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for delivering outstanding customer service. In this role, you will manage administrative tasks with precision to help our team thrive. We are looking for someone that can solve problems, not report that there are problems. This position would be 40 hours a week, starting at 7:30am and ending around 4pm. An office at Brickstone Sq in Andover will be provided. Duties Catalog receipts from construction sites while updating company job coding system daily, send documents to company accountants weekly Manage jobs in noncompliance with Third Party Administrator Call clients to obtain certificate of satisfaction on completed jobs Need to be able to problem solve when issues arise, not report back with problems Collecting checks sent to company office, cataloging and recording in Quickbooks and company Excel sheets daily Create invoices as needed in Quickbooks daily Ability to drive up to an hour and a half to clients house to collect checks across eastern Massachusetts weekly (gas will be paid for by company) Drive up to an hour and a half to perform other administrative tasks across eastern Massachusetts weekly (gas will be paid for by company) Ability to call and coordinate with vendors and clients for administrative work Take documents to UPS to mail to clients and vendors daily Coordinate with owners daily for all above listed tasks Assist with calendar management and scheduling appointments using calendar management tools to optimize time efficiency Support bookkeeping activities including invoicing, expense tracking, and basic QuickBooks data entry Provide clerical support such as proofreading documents, preparing reports, and managing correspondence Qualifications Strong ability to problem solve Proven office experience with strong computer literacy across Microsoft Office Suite, Excel, and other productivity software Demonstrated proficiency in data entry, filing systems, and clerical tasks with high attention to detail Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Strong customer service skills coupled with professional phone etiquette and interpersonal communication abilities Knowledge of bookkeeping practices including familiarity with QuickBooks is important Ability to manage multiple responsibilities simultaneously while maintaining accuracy and efficiency Join us in creating a workplace where your organizational talents make a real impact!
