Job Description
Overview We are seeking a professional and customer-focused Administrative Support Specialist to provide front desk and administrative support at a federal government office located in Bedford, MA 01731 . This full-time, on-site position supports military members, veterans, civilian employees, and their families by delivering exceptional customer service and administrative assistance in a fast-paced office environment. The ideal candidate is organized, dependable, detail-oriented, and thrives in a professional setting where excellent communication and customer service are essential. Primary Responsibilities Welcome visitors and provide exceptional customer service. Answer and direct incoming telephone calls. Schedule appointments, meetings, classes, and workshops. Perform accurate data entry using web-based systems. Maintain electronic records and administrative files. Prepare reports, correspondence, and other office documents. Send appointment reminders and follow-up communications. Support daily office operations and reception activities. Maintain confidentiality when handling sensitive information. Keep the reception area organized and professional. Utilize Microsoft Outlook, Word, Excel, PowerPoint, and other office software. Collaborate with government personnel to ensure efficient administrative support. Minimum Qualifications High School Diploma or GED. At least one (1) year of experience in an administrative, receptionist, customer service, or office support role. Strong written and verbal communication skills. Proficiency with Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint). Excellent organizational and time management skills. Ability to manage multiple priorities while maintaining accuracy. Professional demeanor with outstanding customer service skills. Preferred Qualifications Experience supporting a government agency, military installation, healthcare organization, or corporate office. Experience with scheduling software or electronic record management systems. Familiarity with military culture or supporting military personnel and their families. Experience preparing reports and maintaining confidential records. Preferred Certifications The following certifications are preferred but not required: Microsoft Office Specialist (MOS) Certified Administrative Professional (CAP) Professional Administrative Certification of Excellence (PACE) Customer Service Certification Lean Six Sigma Yellow Belt Work Environment This is a full-time, on-site position located in Bedford, MA 01731 . Regular attendance during standard business hours is required. This position is not a remote role. Employment Requirements Must successfully pass a background investigation. Must be eligible to obtain a Common Access Card (CAC) for access to a federal installation. No active security clearance is required. Must be legally authorized to work in the United States.
