Job Description
Responsibilities:
- Welcome visitors and employees at the front desk, answer a multi-line phone system, and ensure a welcoming first impression at all times.
- Prepare conference rooms for meetings by arranging materials, checking room readiness, and coordinating setup details before guests arrive.
- Support meeting logistics by organizing supplies, placing refreshments or catered items, and confirming spaces are presentation-ready.
- Assist with document handling tasks such as scanning, printing, and related copy support using common office equipment.
- Monitor shared office areas and help maintain a high-service workplace experience without performing facilities or furniture-moving duties.
- Work closely with the Office Administrator to learn local procedures, strengthen service delivery, and provide dependable day-to-day support.
- Adjust to occasional early-morning meeting or deposition setup needs with advance notice, while maintaining regular Monday through Friday coverage.
- Contribute to a flexible support model as office needs develop, including receiving remote direction and training from management when needed. Requirements
- Prior experience in a receptionist, front desk, or similar client-facing office support role is preferred.
- Strong customer service skills and confidence interacting with visitors and internal teams in a corporate setting.
- Ability to work effectively in an office environment that emphasizes high-touch service and attention to presentation.
- Basic familiarity with office technology, including printers, scanners, and multifunction devices; experience with Xerox or HP equipment is a plus.
- Comfortable handling document scanning, mailroom-related support, and general administrative coordination.
- Strong communication, organization, and time-management skills with the ability to manage multiple priorities calmly.
- Dependable attendance and willingness to follow a business casual dress standard appropriate for the workplace.
