ABOUT THE ORGANIZATION
NewVue Communities is the leading non-profit housing developer in North Central Massachusetts and has over forty-five years serving residents in communities from Athol to Harvard. NewVue Communities is a community-based non-profit organization whose mission is to improve the quality of life of low- and moderate-income residents in North Central Massachusetts through community development. The work of NewVue Communities (the "Agency") is about improving and stabilizing neighborhoods, promoting business development, and building the economic, physical and personal or individual assets of local communities and their residents. The community assets range from a house or a business to a new leader or community working together to affect a change.
JOB DESCRIPTION
The Intake Specialist primarily reports to the Director of Housing & Financial Services. This position will be responsible for supporting the Housing Services and Financial Services Department, the Resident Services Coordinator and the Community Organizing department.
RESPONSIBILITIES
The Intake Specialist support staff member serves as the first point of contact for clients, managing intake processes while providing administrative and operational support to program staff. This role ensures smooth onboarding, accurate data collection, and effective program coordination. The candidate should be an individual who is energized by helping people and a team to provide critical services to the community. Our ideal candidate will be an energetic, highly organized, collaborative, and dependable team player who is highly flexible, and pays close attention to detail. Candidates should be able to relate well to multiple stakeholders and be a strong writer and communicator. Answers phone calls, schedules meetings and support visitors and clients' intake for the Housing and Financial Services Department, Resident Services Coordinator and the Community Organizing department.
Specific Responsibilities include:
  • Greet clients in a timely manner (in person, by phone, or online), explain services, and gather basic information. This often includes asking structured questions to understand their needs while making them feel comfortable and respected.
  • Collect, verify, and enter client information into databases, maintain files, and ensure everything is complete and compliant with privacy rules
  • Utilize agency client management system to maintain client files in accordance with all laws and governing organizations.
  • Explain program services, eligibility, and next steps to clients
  • Maintain up to date referrals and resources available
  • Schedule appointments and manage intake calendars
  • Maintain confidentiality and handle sensitive information appropriately
  • Assist with program coordination and daily operations
  • Maintain client records and documentation
  • Prepare reports, spreadsheets, and tracking logs
  • Support program staff with administrative tasks
  • Help with event coordination, workshops, or outreach efforts
  • Monitor program participation and follow up with clients
  • Maintain continuity among department team members and clients by documenting and communicating actions and ongoing client needs.
  • General clerical work, including data entry, mailing, scanning, faxing and copying.
  • Answer incoming calls as needed.
QUALIFICATIONS
Our ideal candidate will be a dedicated and self-motivated individual who has many of the following skills and experiences:
  • Fluency in written and spoken English and Spanish required
  • Ability to accurately translate and draft professional communications in both languages required
  • Strong customer service and problem-solving skills
  • Experience with data entry and recordkeeping
  • Strong knowledge of computer software, including Microsoft Word, Excel, and Power Point. Experience with SalesForce or another client management system is a plus
  • Excellent communication skills both verbal and written
  • Strong organizational skills and ability to work well independently and as a team
  • Highly detailed
  • Strong organizational and administrative skills
  • Able to be flexible in a fast-paced environment
  • Be able to multi-task
  • Must be comfortable interacting with people from diverse backgrounds
  • Ability to assess the needs of the community, develop supportive relationships
  • Must be able to travel if needed
  • Acceptable
CORI/SORI
required
  • Experience in social services, nonprofit, or community programs is a plus
  • Clear understanding of the communities NewVue serves in North Central Massachusetts is a plus

COMPENSATION
The salary range for this position, subject to experience and qualifications, is: Fulltime 40 hours a week starting at $45,000-$55,000 annually plus benefits.
