Job Description

Administrative Assistant South Shore, Massachusetts Full-Time, On-Site We are an established South Shore general contractor specializing in commercial and institutional construction, seeking a detail-oriented Administrative Assistant to support our estimating department. In this role you'll keep the bid process organized and on schedule — coordinating documents, gathering vendor pricing, and supporting our estimators and project managers through each bid. WHAT YOU'LL DO
Request and obtain quotations from vendors and suppliers, and log pricing for the estimating team Assist estimators and project managers in organizing and preparing bid packages Communicate with architects, engineers, vendors, and construction managers (CMs) Review bid specifications and addenda to identify document requirements and deadlines Prepare, log, and track RFIs, submittals, and change requests Track bid dates and bid-document availability Maintain, organize, and track all bid documents Obtain and file vendor pre-qualification information Work within online bidding platforms such as Procore, BidDocs, Newforma, Submittal Exchange, and ProjectDog
WHAT WE'RE LOOKING FOR
Strong organizational skills and attention to detail, with the ability to multitask and meet deadlines Proficiency in Microsoft Word and Excel; familiarity with Bluebeam, CAD, or estimating software a plus Excellent written and verbal communication skills Self-motivated and dependable, with a strong work ethic Prior administrative or construction-industry experience preferred Must be able to pass a criminal background check (CORI)
