The Administrative Assistant II for the K-16 Partnerships Division provides administrative, operational, and clerical support to ensure the efficient functioning of Early College, Dual Enrollment, Concurrent Enrollment, TRIO, GEAR UP, articulation agreements, and related K-16 initiatives. This position supports multiple professional staff, maintains essential records and data systems, assists with grant documentation, and serves as a primary point of contact for internal and external partners, including high schools, MCC faculty and staff, students, families, and state agencies. The Administrative Assistant II ensures smooth day to day operations within a complex, fast paced division committed to expanding equitable pathways from high school to college.Duties and Responsibilities:
Provides administrative support to the Dean, Assistant Dean, Directors, and Coordinators within the K-16 division. Manages calendars, schedules meetings, organizes events, and prepares agendas, minutes, and correspondence. Maintains organized office systems including electronic filing, SharePoint/Teams folders, and division communications. Assists with the coordination and documentation of Early College and Concurrent Enrollment partnerships, including the collection and renewals of MOUs, and required paperwork for approved concurrent enrollment instructors. Supports scheduling and logistics for professional development, convenings, faculty liaison meetings, and school based events. Supports staff with tracking student participation and preparing records for internal and external reporting. Assists with tracking expenditures and budgets for Early College, CDEP, TRIO, GEAR UP, Perkins, and related grants. Prepares purchase requests, reconciles financial documentation, and helps staff maintain grant compliance records. Coordinates with Institutional Research for data requests related to program evaluation, grant reporting, and state requirements. Ensures secure management and proper archiving of digital and physical records. Drafts and distributes communications such as email updates, newsletters, forms, and event notices. Provides high quality customer service to faculty and high school partners. Assists with updates to public facing materials, including the website and promotional documents. May be asked to supervise part-time staff as needed Other Related Duties Assists with special projects initiated by the Dean or Directors. Supports division events on both the Lowell and Bedford campuses as required. Performs additional duties as assigned in accordance with AFSCME classification.Requirements:
Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, or (B) any equivalent combination of the required experience and the substitutions below.Substitutions:
An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required experience.• An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.• Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed Strong organizational skills and ability to manage multiple priorities in a fast paced environment. Proficiency with Microsoft Office tools; comfort with spreadsheets, databases, and digital collaboration tools. Ability to communicate effectively and work with diverse populations, including students, families, faculty, and school partners.Preferred Qualifications :
Experience working in an educational setting, particularly K-12 or community college. Experience with student information systems, grant funded programs, or compliance documentation. Bilingual skills a plusAdditional Information:
Salary Range:
$61,321.52 is the Step 1 starting salary for an AFSCME, Grade 17 position.
