The School Administrative Assistant is responsible for managing the daily operations of a dynamic, fast-paced school office. The ideal candidate will effectively collaborate with various stakeholders, including students, staff, and visitors, while handling a wide range of administrative tasks. The role requires strong organizational skills, attention to detail, and the ability to communicate effectively with diverse groups.
Performance Responsibilities:
1.
Student and Visitor Support:
  • Greet and assist students with a wide range of needs. Welcome visitors to the school office and assist with various inquiries.
  • Manage security protocols for visitors.
2.
Data Entry and Management:
  • Maintain daily attendance records.
  • Reset user IDs and passwords. Print schedules, class lists, and other necessary reports.
  • Upload and manage CSV reports in Excel.
  • Input and update schedules and report cards.
  • Generate reports such as class lists, attendance records, and discipline notices.
3.
Substitute Management:
  • Assign daily substitutes and ensure they have access to necessary materials.
  • Support substitute teachers by providing class lists and lesson plans.
4.
Bookkeeping and Office Management:
  • Create purchase requisitions and manage open purchase orders.
  • Maintain office supplies and inventory. Order and track delivery of instructional materials for teachers.
  • Assist in managing the Student Activities account, including monthly bank reconciliations and deposits.
  • Coordinate and organizes office activities.
  • Coordinates flow of communication and information for principal.
5.
Clerical Support:
  • Manage the school calendar and schedule events.
  • Communicate with parents/guardians through electronic means.
  • Type and mail letters as needed.
6.
Website and Event Management:
  • Review and update the school website.
  • Maintain the schools online calendar of events.
  • Input after-school events into the School Dude system.
7.
Other Responsibilities:
  • Perform additional tasks as assigned by the Principal.
