Job Description
POSITION SUMMARY

The Administrative Assistant supports daily office operations at our Mashpee, MA location. This role is responsible for answering phones, scheduling sales appointments, assisting with customer communications, and performing general administrative and clerical duties. The ideal candidate is organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment. Strong communication and customer service skills are essential. This position reports to the Office Manager and works closely with the sales and operations teams to ensure smooth day-to-day office function.ABOUT THE COMPANY

Answer incoming phone calls and emails promptly and professionally Serve as the first point of contact for customers, vendors, and visitors Schedule and coordinate sales appointments, meetings, and calendars Prepare, format, and proofread documents, proposals, and correspondence Maintain organized digital and physical filing systems Enter and update data in internal systems and generate reports as needed Assist with customer inquiries and support positive client relationships Coordinate office supplies and maintain an organized workspace Support planning and logistics for meetings, trainings, and company events Assist with basic bookkeeping tasks such as tracking invoices and expenses Handle confidential information with professionalism and discretion Collaborate with internal teams to support daily operations Utilize business systems including Aspire and HubSpot (experience not required but a plus)COMPETENCIES

Prior administrative or office support experience preferred Strong customer service and communication skills Proficiency in Google Workspace (Docs, Sheets, Drive, Gmail, Calendar) Experience with Aspire and/or HubSpot is a plus High school diploma or equivalent required; additional training a plusPHYSICAL REQUIREMENTS
This is primarily an office-based role requiring extended periods of sitting and computer use. Occasional standing, walking, bending, or lifting (up to 25 lbs) may be required for office tasks such as filing or supply handling.
