Job Description

St. Ann's Home is seeking a motivated and responsible Administrative Assistant to perform a variety of administrative tasks. Duties of the administrative assistant include providing support to our managers and employees, assisting in daily office needs, record management tasks and receptionist duties. They must be proficient with Microsoft Office Applications to include mail merge. They must possess excellent communication, organizational and interpersonal skills as well as the ability to multi-task and meet deadlines, to think flexibly, to re-prioritize tasks as needed and to work as a team member and independently. The Administrative Assistant reports directly to the Office Manager and Assistant Office Manager. The hours for this position are 9am-5pm. Some nights, weekends and holidays may be required.
Responsibilities:
Creates. maintains, and updates client records which includes proper scanning, filing, and organizing of physical and digital records in accordance with
HIPPA/FERPA
standards. Assists with transferring physical records to electronic records. Enforces record security policies and ensures that record retention policies including archiving have been established. Data entry responsibilities including maintaining and utilizing the agency database and behavioral health management system. Utilizing Microsoft Word to perform a variety of typing duties which included preparing conference reports, evaluations, and mailings for administrative staff. Assists with maintaining office equipment.
Performs receptionist duties:
answering and directing calls, greeting clients and visitors, and complying with security policies. Performs other duties as required or directed.
Requirements:
Proven experience as an administrative assistant.
Proficiency in computer technology:
MS Office to include mail merge, Office 365, EMR, Adobe. Knowledge of office management systems and procedures as well as office equipment.
Education:
Associates Degree (Preferred) Administrative assistants must be able to sit or stand for long periods of time, bend, lift up to 25 pounds occasionally, operate various office equipment including a telephone switchboard and work extensively on a computer or typewriter.
