Job Description
Responsibilities:
Welcome visitors during public service hours, respond to routine questions, and direct more complex matters to the appropriate inspector or department staff member. Convert physical records into digital files by scanning and uploading documents into the electronic permitting platform. Coordinate inspection appointments and enter scheduling details accurately into the online system. Process incoming and outgoing mail to support timely communication and document handling. Maintain organized paper and electronic filing systems so records can be retrieved efficiently. Provide general front-office administrative assistance to help the inspection services department operate effectively. Support staff and community members by relaying inquiries to the right internal contacts when needed. Prior experience in an administrative, clerical, or office support position. Comfortable learning new software applications and working within web-based systems. Ability to manage paper filing, document scanning, and electronic recordkeeping with accuracy. Strong communication skills for handling walk-in inquiries and inbound telephone calls professionally. Organized approach to multitasking in a busy onsite public-facing environment. Basic data entry skills with close attention to detail. Availability to work onsite in Somerville, Massachusetts on a part-time schedule Monday through Thursday.
