About the Role The Administrative Services Specialist provides comprehensive administrative, operational, and customer service support to our Day Services programs. This position serves as a key administrative resource for program leadership and staff, helping to ensure smooth daily operations, organized records management, professional communication, and exceptional service to individuals served, families, visitors, and community partners. This role is ideal for an organized, customer-focused professional who enjoys balancing multiple responsibilities while contributing to a mission-driven organization dedicated to supporting individuals with disabilities. What You'll Do Welcome visitors, families, vendors, and community members and maintain visitor sign-in procedures. Serve as a primary administrative resource for Day Services leadership and staff. Prepare correspondence, reports, spreadsheets, presentations, meeting materials, and other business documents. Coordinate meetings, conference room reservations, and meeting logistics. Maintain electronic and paper filing systems in accordance with agency standards and confidentiality requirements. Support data entry, record maintenance, and operational reporting activities. Open, sort, distribute, and process incoming and outgoing mail. Coordinate office supply ordering and maintain inventory levels for Day Services programs. Assist staff with printing, copying, document preparation, and special projects. Provide back-up support to the Executive Assistant, including telephone and reception coverage. Operate and support a variety of office technology and equipment. Maintain confidentiality of agency, employee, and consumer information. What We're Looking For Associate degree preferred, or an equivalent combination of education and relevant administrative experience. Three (3) years of progressively responsible administrative, office support, or customer service experience preferred. Strong organizational, multitasking, and time management skills. Excellent verbal and written communication skills. Proficiency with Microsoft Office, including Word, Excel, Outlook, PowerPoint, and Teams. Ability to create, edit, and proofread professional documents and communications. Ability to work independently while collaborating effectively with a team.
