Job Summary We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Responsibilities Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette. Operate multi-line phone systems, handle incoming calls, and provide prompt customer support or direct inquiries to the right departments. Perform data entry, maintain accurate filing systems, and update records using Microsoft Office, Google Workspace, and QuickBooks as needed. Coordinate calendar management, schedule appointments, meetings, and conference calls for staff and executives. Assist with office management tasks such as supply ordering, mail distribution, proofreading documents, and maintaining office cleanliness. Provide clerical support including typing correspondence, proofreading materials for accuracy, and managing documentation workflows. Support bookkeeping activities by tracking expenses and processing invoices with attention to detail. Qualifications Proven experience in office management or administrative roles with strong organizational skills. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and basic computer literacy. Excellent phone etiquette skills combined with experience handling multi-line phone systems. Bilingual abilities are a plus for effective communication with diverse clients and team members. Prior clerical experience including data entry, filing, proofreading, and customer service is highly desirable. Familiarity with QuickBooks or bookkeeping software is advantageous. Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced environment. Experience as a dental or medical receptionist or personal assistant is beneficial but not required.
