Due to continued growth, we are looking to add an Administrative Assistant to our Woburn, MA team. In this role, you will provide essential administrative and clerical support that keeps daily operations running smoothly across the office. You will handle a variety of tasks including data entry, scheduling, document preparation, and customer and vendor communication, while supporting multiple departments as needed. Success in this role requires strong organizational skills, attention to detail, and the ability to manage competing priorities in a fast-paced environment.
Key Responsibilities:
Provide general administrative and clerical support to the office and its departments
Answer and direct incoming phone calls, emails, and other correspondence in a professional manner
Perform accurate data entry and maintain organized physical and electronic filing systems
Prepare, format, and process documents, reports, and correspondence
Assist with scheduling, appointments, and calendar coordination
Support billing, invoicing, and other record-keeping tasks as needed
Communicate with customers, vendors, and internal team members to relay information and resolve routine inquiries
Order and maintain office supplies and materials
Provide backup support to other administrative staff and departments as required
Qualifications:
High school diploma or equivalent required
Prior administrative, clerical, or office support experience preferred
Proficiency with Microsoft Office (Word, Excel, Outlook) and general computer skills
Strong organizational skills and attention to detail
Excellent written and verbal communication skills
Ability to manage multiple tasks and prioritize effectively
Professional demeanor and strong customer service orientation
Ability to work both independently and as part of a team
Physical Demands & Work Environment:
Primarily works in an office environment
Frequently required to sit, use a computer, and operate standard office equipment
Occasionally required to stand, walk, reach, and lift up to 25 pounds
Regular and reliable attendance required
The wage for this role is $18.00 to $22.00 per hour, based on experience and qualifications.
